From a customer's request to a placement
- The customer and the leadAdd the customer company and its contacts. Their request for people becomes a lead, for the company or for one contact.
- A project with positionsStart a project from that lead. Each position holds headcount, dates, specialty, skills, certifications, years, work state and travel needs.
- Find people who fitSearch the talent pool with the position's needs filled in, or see who is free for the dates and fits the travel need.
- Keep them in one folderEvery project has one shared talent folder. People you add go in it, resumes included, so the whole team sees the same list.
- Move each person forwardTwelve stages from identified to completed, with holds, release, notes and a full history for each person.
What is in the staffing tools
Projects tied to customers and leads
Link each project to the customer company and the lead it came from, so the sales history and the staffing work stay connected.
Positions with clear requirements
Headcount, start and end dates, specialty, skills, certifications, minimum years, work state, on-site, remote or hybrid, travel and vetting needs.
Talent search and availability
Search by keywords, specialty, years, available dates, willingness to travel to a state and vetting status.
Matching with reasons
Suggested matches for each position, with the reasons each person matched and what they are missing.
No double booking
Confirming someone who is already confirmed for overlapping dates is blocked unless a manager approves with a written reason.
One talent folder per project
A shared folder for each opportunity keeps the people found and their resumes in one place.
Vetting and onboarding
Vetting checklists per person, and onboarding with a ready-to-start check before anyone begins work.
Team, approvals and history
A recruiting team per project, manager approvals, a discussion with @mentions and a full change history.
Calendar, reports and check-ins
A staffing calendar, staffing reports and field check-ins for who is on site.
Contractor portal
Contractors get their own sign-in to see the work offered to them and respond.
Automatic candidate follow-up
Start a follow-up plan on a candidate: a text, an email and a call reminder, spaced out inside the candidate's business hours. It stops by itself when the person replies.
Candidate follow-up that runs on its own
- A recruiter can start an automatic follow-up plan on a candidate. It spaces out a text, an email and a call reminder inside the candidate's business hours.
- The plan stops by itself when the person replies, is confirmed or declined, or is marked Do Not Contact.
- By default, emails send by themselves and texts wait for a person.
- An owner or admin can change this for the account: queue everything for a person to send, or let texts send too. Texts also need texting turned on and the person's text consent.
- Emails send only after an owner enters a From name and a Reply-To and confirms them.
- Every email has a one-click "Stop these emails" link.
Staffing questions
Can one CRM handle both customers and candidates?
Yes. The customer, its contacts and the lead live on the sales side, and the project started from that lead holds the positions, the people found and their talent folder.
How does it stop double booking?
Moving a person into Confirmed, Assigned or Working checks for overlapping confirmed work on other projects. An overlap is blocked unless an owner or office staff approves it with a written reason, which is saved.
Can I search for people who will travel?
Yes. Talent search filters by willingness to travel to a state, and "Find available" checks the travel need of each position along with the dates.
Can follow-up with candidates run on its own?
Yes. A recruiter can start a plan that spaces out a text, an email and a call reminder inside the candidate's business hours. It stops by itself when the person replies, is confirmed or declined, or is marked Do Not Contact. By default, emails send by themselves and texts wait for a person.
Is staffing on for every account?
Staffing is switched on per account by AppWT, so a sales-only business never sees screens it does not use.
